RV Rental Operations Playbook: From Lead to Five-Star Review

Bookings are only half the business. Ops is how you protect the asset and earn five-star reviews on repeat.

Getting the inquiry is one skill. Running a professional operation—from first message to deposit release—is what keeps renters happy, claims clean, and reviews at five stars. Platforms reward response speed; guests reward clarity.

Nurture Leads Like Speed Matters (Because It Does)

Most guests message several hosts at once. The owner who replies first with a warm, personal note wins more often than the owner with the slightly nicer coach. Aim for under 15 minutes. Use their name, reference the trip, and ask where they're headed. For towables, confirm they have a sufficient tow vehicle.

  • Pre-booking — fast, personal, thorough answers.
  • Post-booking — confirmation with pickup details, what to bring, and your number.
  • ~48 hours before — short check-in for last-minute questions.
  • After return — thank them and ask for the review. Most people will not leave one unless you ask.

Follow up unbooked inquiries a day or two later. You recover bookings and learn why you lost them (price, dates, fit).

Preparation and Turnover

Check fluids and tires between every rental and stay on oil, generator, and tire service intervals. Keep a spare set of linens ready. Clean in a fixed order—swap linens, surfaces, sweep, mop last—so you are not redoing work. Over-prepping wastes margin; under-prepping costs reviews.

Pickup Walkthrough (Do It Every Time)

Walk every renter through the unit, even experienced ones. Cover safety devices and exits, water/electric/propane/generator/HVAC, kitchen appliances, bathroom and waste systems (fill the bowl, use plenty of water—smelly bathrooms are usually misuse), exterior compartments and hookups, and driving/towing quirks.

Height clearance and turning radius drive a shocking share of claims. Put clearance near the driver if the unit is drivable. Photograph every angle—interior, exterior, roof, underbelly—record mileage, generator hours, propane, and tanks before they leave.

Dropoff Walkthrough

Walk the exterior with the renter present and compare to pickup photos. Address damage in person. Recheck systems and overages per your agreement. Report platform damage immediately—many platforms cut off claims about 48 hours after return. Release the deposit quickly when everything checks out; that goodwill converts to reviews. Send the review ask within 24 hours.

Event Rentals

Festivals, races, college weekends, and holiday peaks are profit centers if you plan them. Build a yearly event calendar, raise rates, set 2–3 night minimums, clarify who delivers and pays site fees, and charge for delivery/setup. Scout venues when you can so day-of access is not a surprise.

Administrative Ops

Track income and expenses from day one—rental income, delivery, prep, maintenance, supplies, insurance, platform fees—in QuickBooks or a spreadsheet. Keep agreements, damage reports, and messages organized by renter. Review revenue, expenses, net profit, and occupancy monthly so pricing and fleet decisions are not guesswork.
